Website Privacy Policy

Level Up Wellness Group

Last Updated: June 2026

At Level Up Wellness Group (“LUWG”, “us”, “we”, or “our”), we believe your privacy is important. This Website Privacy Policy explains how we collect, use, disclose, and protect your information when you visit our public website at luwg.ca (the “Site”), interact with our digital content, or use our online web tools.

We have designed our digital privacy practices to align with Canadian privacy law, making commercially reasonable efforts to comply with the Personal Information Protection and Electronic Documents Act (PIPEDA), Alberta’s Personal Information Protection Act (PIPA), and Quebec’s Law 25.

1. The “Bridge” to Clinical Care: Website vs. Clinic Data

It is important to understand the boundary between this public website and our clinical services.

This policy covers your interaction with our public-facing website (luwg.ca).

Crossing the Bridge: If you use our website to submit an inquiry form, request an appointment, or access our secure client portal (JaneApp), your information crosses the “bridge” from general website data into our clinical environment.

  • Once your data enters our clinical system, it is treated as Protected Health Information (PHI).

  • At that point, it becomes governed by Alberta’s Health Information Act (HIA), the regulatory standards of our professional colleges, and our Clinical Privacy Policies.

  • Important: While you can request the deletion of general website data (like marketing email subscriptions), by law, we generally cannot delete clinical records or health intake forms upon request. We are legally mandated to retain adult clinical records for 10 years, and minor records for 10 years or until the minor turns 20.

2. Information We Collect

We collect information in two primary ways: data you choose to give us, and data collected automatically.

A. Information You Voluntarily Provide We collect personal information that you intentionally submit to us, which may include:

  • Forms & Inquiries: Name, email address, phone number, and any details you provide when filling out a “Contact Us” or appointment request form.

  • Interactive Tools: Data entered into features like our Provider Matching Tool to help guide your experience.

  • Surveys & Subscriptions: Information provided if you choose to participate in a website survey or subscribe to our newsletter.

B. Automatically Collected Data (Telemetry & Analytics) We may automatically collect certain information to help us understand site performance and user behavior. This typically includes:

  • IP addresses (which we take steps to anonymize).

  • Device information, browser type, and operating system.

  • Click paths, pages viewed, time spent on the Site, and referring URLs.

3. Cookies, Analytics, and Your Controls

To operate our website and understand how it performs, we use a limited set of cookies and analytics tools. We analyze traffic for business metrics, and the data used is related to actions taken on our site.

Here is generally what we use and why:

  • Strictly Necessary Cookies: These are required for the website to load securely and function properly (e.g., form security). They do not store personally identifiable information and do not track you across the internet. By using our site, you agree to the use of these essential, functional cookies.

  • Business Analytics: We use Google Analytics to understand high-level business metrics (e.g., which pages are most popular).

    • Privacy-by-Design: We strive to configure our analytics to mask/anonymize your IP address and limit data-sharing settings. Because this data is intended to be de-identified and is not used by us to track you across other websites, these baseline analytics generally run by default.

    • No Marketing Connections: We do not use embedded social pixels (like Facebook/Meta or TikTok pixels) on our site, we do not run retargeting ads based on your site browsing, and we do not sell your data to data brokers.

  • “Do Not Track” (DNT): We strive to respect browser-level “Do Not Track” (DNT) and Global Privacy Control (GPC) settings. If our system recognizes these signals, it is designed to disable non-essential analytics tracking for your visit.

Withdrawing Consent: You can review, modify, or withdraw your analytics consent by using the cookie management tools typically located in the footer of our website.

4. How We Use Your Information

We limit the use of your personal information to purposes that are appropriate and necessary for our operations. We use your data to:

  • Respond to your direct inquiries and appointment requests.

  • Deliver the functionality of our website and interactive tools.

  • Analyze telemetry data to improve website design and user experience.

  • Detect, prevent, and address technical issues or fraudulent activity.

We do not sell, rent, or trade your personal information to external data brokers.

5. Artificial Intelligence (AI) and Automated Tools

To provide an efficient experience, luwg.ca may utilize automated systems (such as search functions or provider matching tools).

AI Training: We do not intend to scrape, aggregate, or use your personal website data, inquiry form submissions, or interactive tool inputs to train our own, or third-party, Large Language Models (LLMs).

Acceptable Use: If you interact with any AI tools on our site, you agree not to use them to generate harmful content or attempt to bypass safety filters. We reserve the right to terminate access if these terms are violated.

6. Data Retention and De-identification

We strive to retain your personal information only for as long as necessary to fulfill the purposes for which it was collected.

When retaining website data for long-term trend forecasting, we use standard de-identification or aggregation practices. This means we take commercially reasonable steps to remove direct identifiers so that the data cannot readily be linked back to you.

7. Children’s Privacy

This public website is not directed at children under the age of 14, and we do not knowingly collect personal information directly from them without verifiable parental consent.

If you are a parent or guardian and are aware that your child has provided us with personal information through this website without your consent, please contact us. If we discover we have inadvertently collected such data, we will take steps to promptly delete that information from our servers.

8. Third-Party Disclosures

We share your information with trusted third-party service providers who assist us in operating our website and conducting our business (e.g., website hosting, secure form processors). We seek to ensure these parties are bound by commercially reasonable confidentiality agreements.

Our Site may contain links to external third-party websites. We are not responsible for the content or privacy practices of any external sites.

9. Security

The security of your data is important to us. We use industry-standard security measures to protect your personal data from unauthorized access, disclosure, alteration, or destruction. However, no internet transmission or electronic storage method is 100% secure. While we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security.

10. Your Rights and Choices

Depending on your jurisdiction, you may have rights regarding your personal information collected by this website, including:

  • The Right to Access: You can request a copy of the personal data we hold about you.

  • The Right to Correction: You can request that we correct inaccurate data.

  • The Right to Erasure: You can request the deletion of your general website data (Note: As stated in Section 1, this does not apply to clinical health records).

To exercise these rights, please contact our Privacy Officer. We will attempt to respond to your request within the timelines suggested by applicable provincial laws.

11. Images Used on This Website

We use a variety of sources for the images on this website. Some images are licensed from Dreamstime, while others are sourced from free stock photo websites like Pixabay, Pexels, and Unsplash. Some icons are sourced from Icons8. We respect the copyright of all image creators.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our technology or legal obligations. We will notify you of any changes by posting the new Privacy Policy on this page and updating the “Last Updated” date.
